Document Manager was the most requested new addition to Intranet Suite. Whilst the File Manger module offers a great way to manage personal files, and its shared folders offer quick and easy file sharing, it had no feature to disseminate and manage important corporate or project related documents.

The new Document Manager module does all that and more, and does it with all of the ease of use that is a trademark of an Intranet Suite module. Users see files and folders exactly as they would see them on their own machine. You can click into folders, navigate around them, cut and paste and drag and drop- there's no complex UI to learn here. If a folder is locked it shows a little padlock icon (consistent throughout Intranet Suite).

With the right permissions a user need simply select a file and click the check-out button to check files out, or double click to download the latest version. Checked-out files stop other users checking in revisions until the other user has finished making changes. When it comes to checking files back in, just hit the Check In button (it doesn't matter which folder you are in) and a list of all the files you have currently checked out will be displayed. Simply highlight the file you want to check in and upload your new version. Document Manager will take care of the versioning for you- in the event you need to roll back to an earlier version, just select the roll-back option.

Every file you upload supports meta-tagging as well as file descriptions. Meta tags let you enter keywords for each file that aid in searching for documents. These descriptions, for both files and folders, let each user see what the file is about without downloading it first. You can also colour-code your folders (the HR policies are in the red folder, is one use).

Document manager has some neat background capabilities too that would expect from a Convea application. Things like dragging folders around and automatically inheriting parent permissions, or editing a folder and applying its permissions to all child folders. It does many things in the background that we won't shout about, but you should feel reassured knowing they are there. Security is in our DNA.

This module is part of the core Intranet Suite and does not need to be purchased seperately.
